When users send images, audio files, or videos to your chatbot, it’s important to let them know what to expect. Neither the AI nor the chatbot can analyze or interpret multimedia content, so without a proper response, users might feel confused or ignored.

The good news is that you can easily set up a custom reply to handle these situations! By following the steps in this tutorial, you’ll learn how to create a friendly message that informs users about the limitation and guides them on what to do next. Let’s make your chatbot even more user-friendly!

Create a new item in your chatbot flow.  Open the WhatsApp section and navigate to the Chatbot Manager. Click on the + Add Item button to add a new response to your bot’s flow.

Use Emojis as Keywords. Instead of using regular words or phrases, you’ll assign an emoji that represents the type of multimedia content the bot should respond to.

Here’s the emoji guide for each type of content:

  • 🎧 : Audios
  • 📹 : Videos
  • 📷 : Photos

In the Keyword field, type the emoji that corresponds to the multimedia message you want the bot to handle. For example, to respond to an audio message, add 🎧 as the keyword.

💡 PRO TIP: Make sure you use the exact emoji listed above so your bot recognizes the content correctly.

Customize the Response. In the Caption field, write a message explaining that the bot cannot process multimedia content. You can also guide users on what to do next. For example:

“Thank you for your message! Unfortunately, I cannot process audio files. Could you please describe your question in text so I can assist you better?”

Save the item after customizing your message. Click on the Submit button.

Repeat for Other Multimedia Types. If you want your chatbot to handle all types of multimedia messages, repeat Steps 1–3 for 📷 (photos) and 📹 (videos). Customize the responses for each type if necessary.

Test Your Bot. Once all the items are set up, test your bot by sending it an audio, video, or photo to ensure it responds with the correct message.

And that’s it! Now your bot will handle multimedia messages like a pro by gently guiding users on what to do next. If you need additional help, you can always contact us.
